Accounts payable automation

Vendor invoices that code and route themselves.

Invoices arrive by email the way they do today. Our AI reads the vendor, every line, tax and freight, codes it to the right job or department and puts it in front of the right person to approve.

The problem

Accounts payable is mostly typing: open the PDF, find the job, enter every line, chase the approval, then enter it again in accounting.

Invoices get lost in inboxes, approvals stall, and coding mistakes show up months later when a job's numbers don't add up.

How the automation works

  1. Step 1

    Invoices arrive by email

Vendors keep sending invoices to the same address. Nothing changes for them.

  2. Step 2

    AI reads every line

Vendor, invoice number, dates, line items, tax and freight are read from the PDF, with checks for anything that doesn't add up.

  3. Step 3

    Coded and routed

Each invoice is coded to a job, department or account and sent to the person who approves it. AP can correct the coding at any point.

  4. Step 4

    Exported to accounting

Approved invoices export as accounting import rows, one row per line, so split invoices keep each job.

What stays with your team

Your AP team reviews the coding, approvers approve, and nothing posts to accounting without a person signing off.

Who it's for

Every tool we build is set up around your forms, your rates and the software you already use. Your process probably isn't exactly like this one, and it doesn't need to be.

Questions

Does it work with our accounting software?

Approved invoices export in a format your accounting system can import. We set the export up to match the system you use.

What about invoices split across several jobs?

Each line can be coded on its own, and the export keeps one row per line so every job gets its share.

Do our vendors need to do anything differently?

No. They keep emailing invoices to the same address.
